District 4 Solo & Ensemble Festival

Eligibility
There is no longer a music class requirement for a student to participate in the State Solo contest, however, all other OSAA eligibility rules do apply. Directors must have a current OMEA membership in order for their student(s) to perform in the Solo & Ensemble Festival. (go to nafme.org to check your membership status)

Registration
 Registration is through the website: solochair.com. Please follow the instructions included with this
letter to register your student(s) for the 2018 OMEA District 4 Solo & Ensemble Festival.
 The website will be open for directors to enter their students’ information from Monday, January 15,
2018, through Sunday, February 18, 2018, at 10:00 P.M.
 You will need to know your students’ accompanist to complete the registration process.
Accompanists must be listed on solochair.com by February 18. Do not select “TBA†or “none†if the students will require an accompanist. If an accompanist is listed as “TBA,†the student’s performance will be scheduled when convenient for the system. If an accompanist needs to be added or changed after the registration deadline, it is the responsibility of the director and student to find an available accompanist in the assigned time slot. Schedule changes can only be made by the District 4 Chair.
 Registration fees need to be sent to the District Chair (address at the end of this letter).
Late Registration/Cancellation Policy
 Requests for late registrations must be brought directly to Deborah Barber, District 4 Chair, for approval. ONLY the contest Chair can modify the contest schedule to add students to the schedule.
 Approval for a teacher to register a student after the February 18th deadline will be considered ONLY if space is available in the specific performance category and there are no accompanist conflicts.
 A late- registering soloist or ensemble who takes a cancellation slot must pay the registration fee plus a late charge of $5.00. This fee is to be paid even if the original performer(s) paid a registration fee. It must be paid on or before the day of the festival; if not paid, students will not be allowed to perform.
 If a soloist or ensemble cancels, the entry fee will not be refunded.
Entrance Fees
 The entry fee for each solo is $15.00.
 The fee for each ensemble is $15.00 plus $1.00 per member of the ensemble. For example, a flute
trio is $18.00 ($15.00 plus $1.00 for each of the three students participating).
 Payment for Solo & Ensemble entries must be postmarked by February 26. Please make payment in the form of a single school or booster club check or a school purchase order for all entries from your
department. Make checks payable to OMEA District 4.
 If payment is not received by the festival date, your student(s) will not be allowed to participate
in the festival.

Performance Information
 Exact performance times will be e-mailed to teachers the week after the registration deadline closes.
 Each entry will be allotted 10 total minutes for tuning, performing and receiving adjudicator comments. Time will be kept by the adjudicator or a room monitor, and the performance and discussion will be
stopped at the end of ten minutes.
 Please brief your students on proper performance apparel and etiquette.
 Performers must provide an original score for the adjudicator (please have your student number
measures in the score and their performance part for ease of discussion with their adjudicator). Note that failure to have an original set of music for both the performer AND the adjudicator is grounds for disqualification from the State Solo & Small Ensemble competitions.
 *Note: IMSLP versions of music are now permitted.
OMEA Small Ensemble State Contest
When registering your students for the District 4 festival, please indicate whether their ensemble is competing for State qualifying scores or performing for Comments Only. The handbook for the State Ensemble festival can be found at www.oregonmusic.org. It will be held on April 27, 2018 at Pacific University in Forest Grove, Oregon.
OMEA Solo State Contest
The handbook for the State Solo festival can be found at www.osaa.org. It will be held on April 28, 2018 at Pacific University in Forest Grove, Oregon.
Festival Policies
In order to make this a successful event, the following policies are enforced:
 Out of respect to the integrity of the judging process, interaction with the judge, by parent or student, prior to the student’s performance will not be allowed. Additionally, only the student will interact with the judge after his/her performance, during the allotted time. This will allow the judge to focus on the performance in a clear, unbiased manner. Failure to adhere to this policy may result in the
disqualification of the student.
 Once registered, a vocal or instrumental soloist must remain in the category for which he/she is
registered.
 High school soloists and ensembles may not change classifications between State Competition and Comments Only after their registration has been submitted. Please carefully consider those registering as State competitors, making sure that their performance is prepared enough for that level of scoring.
 Middle school students do not compete to qualify for the State competition, but earn a festival rating andhavetheopportunitytoreceivecomments. Outstandingmiddleschoolperformerswillbeselected by judges to receive an award for their exceptional performances.
 Accompanists are asked to accompany no more than 14 soloists. Directors should make certain that the accompanists working with their students are aware of this policy. Please share the attached accompanist/private instructor letter with anyone working with your student(s) so that they have the information as well.
Additional Information about 2018 Solo & Ensemble Festival
 Results from this year’s festival will be posted near the registration table as each room closes and scores are tabulated.
 Student score sheets will not be available for pick up until the end of the festival day, and will only be released to school directors of the corresponding schools (no parents or private teachers will be allowed to pick up score sheet packets).
 High school District winners may apply for a $50.00 scholarship to help defray costs of extra scores, accompanist, etc. for the State solo contest. Please contact Deborah Barber, District 4 Chair for an application if so desired.
