Hotel Policy for All-State

  • All students will room with three other students of the same gender and grade level.
  • We try to keep students from the same school and ensemble together, but this is not guaranteed.
  • Chaperones do not room with students.
  • Chaperones are a mix of certified music teachers and college music education majors who have gone through the state fingerprinting process. Our ratio is approximately 1 chaperone to 4 rooms.
  • The ensemble managers are state-certified teachers and will be at all rehearsals with the students.

OMEA Policies and Procedures Related to Hotels for All-State Students
SECTION (12) D.9. Students are required to stay in the hotel that their performing group is assigned with other All-State students. Students with extenuating circumstances may stay in the All-State Hotel with their parents upon the approval of the executive board. Note: the cost of All-State participation does not change. The decision of the executive board is final. Emails concerning special needs requests must be sent no later than two (2) months prior to the event — email requests to the Executive Director.

Food Allergy & Dietary Restrictions & Meal Protocol During All-State

  • During the registration process online through Opus, any dietary restrictions or allergies must be included in the students’ information.
  • Data reports are downloaded from the site and any restrictions and allergies are noted and sent to the caterers.
  • Many caterers already exclude nuts from their facilities and meals.
  • Other restrictions, such as gluten, dairy, vegetarian, etc. will be accommodated. A separate meal can be provided for those students, no extra charge.
  • If there is concern that the accommodations will not be sufficient, students may bring (non-perishable) supplemental food/snacks along with them.

Travel Insurance

  • Participants in All-State may want to consider purchasing Travel Insurance to protect your investment. Companies such as Allianz, Faye, and Travelex all have reasonable rates based on the cost of the registration and any other expenses you may want to add into your quote.
